Dear Gymac Families,
Welcome to Gymac Ltd! We are thrilled to have you as part of our growing community. Whether you are new to our centre or returning for another season, we thank you for trusting us with your or your child’s physical development and well-being. At Gymac, we believe in more than just gymnastics — we believe in shaping confident, respectful, and resilient individuals through the power of sport and education.
This handbook is designed to help you understand how our programs operate, what you can expect from us, and what we expect from our members in return. We encourage open communication, shared responsibility, and mutual respect to ensure a safe, structured, and inspiring experience for everyone.

1.3 About Gymac Ltd
Founded in Grand Baie, Gymac Ltd began with a simple vision: to provide quality, accessible gymnastics education to young athletes in Mauritius. Over time, our centre has grown into a recognized multi-activity institution with over 400 active members, 10 full-time employees, and an expanding range of programs.
We offer a broad curriculum across:
- Artistic Gymnastics (Recreational & Competitive)
- Tumbling, Parkour, and Aerial Acrobatics
- Martial Arts (Judo, Kung Fu)
- Dance & Fitness (Zumba, Pilates, Breakdance)
- Social Activities (Drama, Chess, Board Games)
Our programs are delivered by a team of international and local coaches, each trained to support individual growth and excellence in a safe and supportive environment.

This handbook has been created to:

- Promote safety, respect, and consistency in our operations

It should be referred to throughout your membership and shared with relevant family members or guardians.

Our goal is to ensure every person connected to Gymac has the information and support needed to enjoy a rewarding and enriching experience.
2. Program Overview
2.1 Courses & Disciplines Offered
Gymac provides a broad range of classes and activities that promote physical education, discipline, creativity, and fun. Our main branches include:
- Artistic Gymnastics – Recreational & Competitive
- Tumbling & Parkour – Dynamic movement & urban flow
- Trampolining – Bounce-based skill development and aerial control
- Aerial Acrobatics – Aerial silks, hoops, and circus arts
- Martial Arts – Judo and Kung Fu and more
- Dance & Fitness – Zumba, Breakdance, Pilates, Ballet
- Social & Cultural Activities – Chess, Drama Club, Board Games
Each course is structured to align with the student’s age, ability level, and interest.
2.2 Age Groups & Class Categories
To ensure targeted learning and age-appropriate content, our classes are divided into specific categories:
- Parents & Tots (1–3 years)
- Young Children (4–6 years)
- Children (7–11 years)
- Teens (12+ years)
- Adults (18+ years)
- Seniors (55+ years)
These age brackets help us create safe and engaging learning environments for all participants.
2.3 Class Progression & Advancement
Progression is structured and performance-based. Students move through defined levels based on:
- Skill evaluations (every 6 months)
- Consistency in attendance
- Readiness assessed by coaches
Competitive gymnastics students are assessed more frequently and may be invited to special squads. Certificates and level awards are given at the end of each evaluation cycle.
2.4 Special Programs & Events
Gymac offers enriching events outside of regular training:

- Participation in National & International Competitions
Participation is open to both members and invited guests depending on the activity.
2.4.1 Holiday Camps
Gymac Holiday Camps run during school holidays and are open to members and non-members
(ages 4–14). Whether attending for the first time or continuing as a Gymac student, camps provide
fun, fitness, and skill development in a safe and dynamic environment.
● Format: Full Day Program (09:00–14:00)
● Activities: Gymnastics, Tumbling, Parkour, Trampoline, Aerial Arts, Dance, Martial Arts, Team
Games, Creative Activities
● Age Groups: 4–6, 7–11, 12–14 (students must be potty-trained and able to follow basic safety
instructions)
● Coach Ratios: 1:8–10 (younger ages), 1:10–12 (older)

Registration & Payment
● All holiday camp bookings are managed via swool.io, Gymac’s online registration and payment
platform.
● Registrations must be submitted at least 48 hours before camp start; late requests accepted only by
phone, subject to space.
● Payment is due at the time of booking (cash, card, or transfer via swool.io reference).
● Registration forms must include emergency contact info, medical details, and parental consent
(participation, media, and emergency care).
Drop-Off & Pick-Up
● Drop-off: 08:45–09:00
● Pick-up: 14:00–14:15 (late fee Rs 200/15 min after 2 courtesy reminders)
● Only authorised adults listed on the registration form may sign out children; written notice required
for changes.
Medical & Behaviour
● Children showing illness (fever, vomiting, etc.) will not be admitted.
● Disruptive or unsafe behaviour may result in removal from camp after fair warning.
● First aid is provided onsite; Gymac may call emergency services if needed.
● Parents of children with special needs are encouraged to contact Gymac prior to registration.
Insurance & Liability
● Gymac holds liability and accident insurance for participants under 18 (limited coverage).
● Parents are strongly encouraged to maintain personal health insurance.
Cancellation & Refund Policy
● ≥72h notice: full refund
● <72h notice: 50% refund
● Same-day/no-show: no refund
● Medical certificate: full credit/refund may be issued
● If Gymac cancels (e.g. severe weather), a credit or reschedule will be offered
2.5 Class Schedule & Attendance Expectations
- Classes are scheduled by term or monthly blocks
- Schedules vary by branch, age group, and level
- Attendance is essential for safety and progression
- Repeated absences may impact student advancement
Schedules are communicated via email, posted on our notice boards, and shared via WhatsApp broadcast lists.
3. Terms & Conditions
3.1 Membership & Enrolment
From September 2025, Gymac offers two membership types: Commitment and No Commitment.
Commitment Membership
- Operates under two enrolment systems based on two major Mauritian school systems:
- System A: September – June (10 months)
- System B: January – November (10 months)
- Membership is valid until the end of the chosen academic year and cannot be cancelled except for:
- Serious injury/illness with valid medical proof, OR
- Other exceptional circumstances approved by Gymac management.
- Performance Squad: Requires a 12-month commitment due to advanced athlete preparation and competition schedules.
- 4 Classes Per Month Guarantee: If a public holiday, weather closure, or government order reduces the number of classes in a month, Gymac will provide catch-up classes to ensure 4 classes per month.
- Some disciplines operate under only one system (A or B) and may not run year-round. Availability is confirmed at registration.
- Annual Registration Fee: Rs 1,000 per academic year.
- Monthly Fees: (General Gymnastics, Parkour, Tumbling, Aerial, Breakdance,Judo)
- 1 hr/week: Rs 1,980/month (Rs 19,800/year)
- 1.5 hrs/week: Rs 2,490/month (Rs 24,900/year)
- Parents & Tots (0.5 hr/week): Rs 1,000/month (10,000/year)
- Pilates 1hr/week Rs 1600/month (Rs16,000/year)
- Kung Fu 1.5 hrs/week Rs 1980/month (Rs 19,800/year)
- Discounts: 10% off for the 2nd family member, 20% off for the 3rd+ family member, 20% off for a second and more classes.
- Payment Terms: Due on the 1st of each month; Rs 400 penalty applies after the 7th. Payments must be made into Gymac’s bank account using the specific payment reference generated by swool.io.
- Catch-Up Classes:
- 5 catch-up classes per 10-month period
- Must be requested in advance and granted only for a missed class announced beforehand due to illness or personal reasons
- Subject to availability
- Holiday months outside the system are not included in the commitment fee; members receive special discounted holiday rates/packages.
- Pro-Rated Fees: Available for late joiners.

- No registration fee.
- Classes are booked only based on availability (no guaranteed spot).

- Parents & Tots (0.5 hr): Drop-in Rs 400 / 4 Classes Rs 1,400 / 10 Classes Rs 3,000
- Fitness: Drop-in Rs 500 /10 classes Rs 4,700 / Unlimited Monthly Rs 3,000
- Pilates: Drop in Rs 600/ 4 classes Rs 2,000 / 10 classes Rs 4,800
- Self Practice drop in Rs 300 / Unlimited Rs 1,500 monthly
- Private 1-to-1: Rs 1200/session or Rs 10,000/10 sessions
- Private 2-to-1: Rs 1500/session or Rs 13,000/10 sessions
3.2 Fees & Payments
- Non-refundable.
- Commitment members must pay for a full academic year unless approved for cancellation.
- No-Commitment packages expire after validity period.
- Payment must include swool.io reference.
3.3 Cancellation, Refunds & Suspension
- 4 weeks’ notice required for cancellation of Commitment (only under approved conditions).
- Catch-ups expire at the end of the academic year.
3.4 Public Holidays & Unforeseen Closures
- No classes on public holidays unless scheduled.
- Commitment members receive catch-ups to ensure 4 classes/month
3.5 Health & Safety Obligations
- All students must be in good physical and mental health to be admitted to class.
- Coaches have the authority to remove a student from class if they suspect the student is unwell or may be showing symptoms of a contagious illness.
- All relevant medical conditions or medication must be declared.
- Students must be in appropriate attire: no jewellery, long hair tied back.
- Shoes, food, gum, and drinks are prohibited in the gym area.
- Students arriving more than 25 minutes late may not be allowed to join the session
3.6 Code of Conduct
- Respectful behaviour is expected at all times.
- Coaches have the right to immediately remove a student from the class if their behaviour is deemed disrespectful, unsafe, or disruptive to the learning environment.
- Only coaches and authorised personnel may access the training zones.
- Parents must remain in the designated waiting area unless attending a parent-child class.
- Children not in class must be supervised at all times.
- Repeated disruptive behaviour may lead to membership suspension or termination.
3.7 Media & Privacy Policy
- Photos and videos may be taken during classes or events for Gymac promotions.
- Members must inform Gymac in writing if they do not wish for their child to appear in such materials.
- Filming or photography by members is not allowed without prior approval.
3.8 Insurance & Liability
- Gymac holds a public liability insurance, which provides organisational coverage in the event of legal claims. This coverage does not extend to individual student injuries.
- Gymac also maintains a group personal accident insurance policy for members under 18 years of age, offering limited coverage up to Rs 15,000 per claim, with a Rs 500 excess per member.
- Please note: Although Gymac is insured, the claim process is managed solely by the insurance provider, and Gymac cannot guarantee the outcome or timeframe of any reimbursement. Based on prior experience, delays and refusals from the insurer are possible. As such, Gymac cannot be held responsible for any unsuccessful insurance claims or expenses not reimbursed by the insurer.
- All members are strongly encouraged to have their own personal medical insurance. Participation without personal coverage is done at the member’s own risk.
- Mauritius provides access to public healthcare services free of charge. In the event of injury or medical need, Gymac will assist in facilitating access to these government services.
- If parents or guardians opt for private medical care, they do so entirely at their own discretion and expense. Gymac will not be liable for any decisions, treatments, or follow-up actions taken through private healthcare facilities.
- As with all physical activities, participation at Gymac includes a level of inherent risk. While we take every precaution, Gymac is not liable for injury or health complications unless resulting from proven gross negligence.
3.9 Contact & Communication
- Gymac communicates via email, WhatsApp broadcasts, and posted notices.
- Parents must keep contact details updated.
- In emergencies, Gymac staff will take appropriate action to ensure the child’s safety.
4. Facility Use & Safety Guidelines
4.1 Orientation of the Premises
- Upon enrolment, families are encouraged to familiarise themselves with the layout of the facility including the training gym, waiting areas, cafeteria, restrooms, emergency exits, and designated parent zones.
- Orientation is provided at the start of each term or upon request at the reception desk.
4.2 Entry Rules & Parental Presence
- Only registered participants and authorised staff/coaches are allowed in the training areas.
- Parents/guardians are welcome to wait in the designated seating area or cafeteria during their child’s class.
- For safety and focus, parents are not permitted to enter the gym during class time, except during special events or for the Parents & Tots sessions.
4.3 Child Pick-Up Policy
At GymAc, the safety of our students is our highest priority. To ensure all children are collected safely and on time, the following rules apply:
Pick-Up Time
- Parents/guardians must arrive at least 5 minutes before the scheduled end of class.
- Delays affect the next class and require staff to provide unscheduled supervision, so punctuality is essential.
Authorized Pick-Up
- Students will only be released to adults listed as authorized contacts on their registration form.
- If someone else is collecting your child, you must notify the GymAc office in advance by phone or WhatsApp.
- Staff may request identification if they are not familiar with the person collecting the child.
Self-Dismissal Authorisation
- Parents/guardians of older children may provide authorisation allowing their child to leave the premises unaccompanied after class during the registration process or after.
- This authorisation must be submitted in advance and will remain valid until revoked in writing.
- Once dismissed under this arrangement, GymAc is no longer responsible for the child’s supervision or safety outside the premises.
Late Pick-Ups
- For the first two late pick-ups in a term, parents will receive a courtesy reminder.
- From the third late pick-up onward, a fee of Rs 200 per 15 minutes may apply to cover staff supervision costs.
Safety While Waiting
- Students will remain in the designated waiting area with a staff member until collected.
- For safety reasons, children are not allowed to wait outside the facility unsupervised unless authorised under Section Self-Dismissal Authorisation above.
Emergencies or Delays
- If you are delayed unexpectedly, please call or message the GymAc front desk immediately so we can reassure your child and arrange safe supervision.
4.4 Emergency Procedures
- In case of emergency (fire, cyclone warning, medical incident), please follow the instructions of Gymac staff.
- Emergency exits and procedures are clearly marked and communicated to all staff and coaches.
- Drills may be conducted periodically for safety preparedness.
4.5 Hygiene & Personal Responsibility
- Students must arrive clean and in proper training attire.
- Hair must be tied back and nails kept short for safety.
- No shoes, food, gum, or open drinks are allowed inside the gym area.
- Members must respect the cleanliness of all shared spaces.
4.6 First Aid & Incident Protocol
- A trained first aid staff member is present during operational hours.
- Minor incidents will be recorded in the Gymac Incident Log and communicated to the parent/guardian.
- In the case of a more serious incident, Gymac will immediately contact the parent/emergency contact and follow the medical consent procedures outlined in Section 8.
4.7 Equipment Use Policy
- All Gymac equipment (e.g., gymnastics apparatus, aerial silks, trampolines, parkour blocks) is to be used only under the direct supervision of a coach.
- Students are not allowed to climb, hang from, or use equipment before or after their scheduled class unless invited by a coach.
- Misuse of equipment may result in injury and will be treated as a disciplinary matter, which could lead to temporary suspension.
- Parents are kindly reminded to monitor siblings and other children not in class, ensuring they do not access training equipment.
4.8 Dress Code by Discipline
- Gymnastics, Tumbling, Parkour, Trampolining:
Leotards or fitted sportswear, no zips or buttons, hair tied back, barefoot or grip socks. - Martial Arts (Judo, Kung Fu):
Official uniform (Gi or Kung Fu set), belt where applicable, clean bare feet. - Aerial Arts:
Fitted leggings and long-sleeve shirts, no jewellery, hair tied back. - Dance & Fitness:
Activewear or dance attire, clean trainers (when required), hair tied back. - Social Activities (Drama, Chess, Board Games):
Comfortable casual clothing, shoes where needed.
5. Code of Conduct
5.1 Expectations for Students
- Arrive on time and be prepared with proper attire.
- Listen carefully and follow the instructions of your coach.
- Show respect to fellow students, coaches, staff, and equipment.
- Use polite language and conduct yourself with kindness.
- Report any injury, discomfort, or concerns immediately to your coach.
- Refrain from using mobile phones or smart devices during training sessions unless authorised.
5.2 Expectations for Parents
- Support your child’s participation and progress with encouragement and positivity.
- Respect Gymac’s operational policies, including coach authority and training guidelines.
- Avoid coaching or giving instructions from the sidelines.
- Communicate promptly with staff regarding attendance, injuries, or concerns.
- Attend parent meetings or showcases when invited.
5.3 Expectations for Coaches & Staff
- Create a safe, supportive, and inclusive environment for all students.
- Maintain professionalism in behaviour, dress, and communication.
- Deliver structured, skill-based, and age-appropriate training sessions.
- Monitor and manage behaviour with fairness and consistency.
- Ensure all health, safety, and emergency procedures are followed.
5.4 Anti-Bullying & Respect Policy
- Gymac maintains a zero-tolerance policy toward bullying, harassment, or discrimination of any kind.
- All students and staff are expected to treat others with kindness, fairness, and dignity.
- Any reports of bullying will be investigated and addressed promptly.
5.5 Disciplinary Measures
- Minor infractions will be addressed through verbal warnings or timeouts.
- Repeated misbehaviour or serious violations may result in removal from class for the day.
- In cases of ongoing disrespect, aggression, or safety violations, membership may be suspended or terminated.
- Any decision involving suspension or expulsion will be discussed with parents or guardians when applicable.
6. Performance & Progress Tracking
6.1 Evaluation Methods
- All students are evaluated regularly to track progress and skill acquisition.
- Recreational students undergo biannual evaluations (every 6 months).
- Evaluations assess technical ability, coordination, consistency, and attitude.
- Coaches provide informal feedback throughout the term in addition to evaluations.
6.2 Skill Level Advancement
- Advancement to the next level is based on consistent attendance, coach recommendation, and successful evaluation.
- Some disciplines may require demonstration of specific core skills before progressing.
- For competitive gymnastics, students may be invited to trial with a performance squad based on coach observation and readiness.
6.3 Attendance Monitoring
- Regular attendance is critical for development and safety.
- Excessive absences may delay progress or result in a recommendation to move to a different class group.
- Students arriving more than 25 minutes late may not be allowed to join the class to ensure warm-up and injury prevention.
6.4 Certificates & Rewards
- Students who complete a full cycle of evaluations and meet required competencies may receive a Gymac certificate of level completion.
- Recognition is also given for effort, improvement, and commitment.
- Competitive athletes may receive additional rewards for podium finishes, participation, or representing Gymac in official events.
6.5 Competitive Pathways
- Gymac offers competition opportunities in multiple disciplines.
- Students may be invited to participate in local, regional, or international events based on readiness and selection.
- Competitive athletes are subject to more frequent evaluations, training expectations, and performance reviews.
7. Communication Policy
7.1 Channels & Platforms (Email, WhatsApp, Bulletin Board, Social Media)
- Gymac communicates primarily through email, WhatsApp broadcast lists, and physical notice boards at the facility.
- Members are responsible for reading and staying up to date with communications related to schedules, closures, events, and updates.
- Ensure the administration has your correct and up-to-date contact details.

7.2 Parent-Coach Communication Etiquette
- For short updates, WhatsApp is preferred. For formal issues, please contact us via email or in person.
- Please respect coaches’ time and avoid extended discussions before, during, or after class without a prior appointment.
- Use respectful language at all times. All concerns are taken seriously and addressed confidentially.
7.3 Feedback & Complaint Procedures
- We value your feedback. Suggestions and comments are welcome via:
- Feedback forms (available at reception or via email)
- Scheduled parent meetings
- Direct contact with the administration
- Complaints should be made respectfully and addressed to management, not directly to coaches unless appropriate.
7.4 Lost & Found, General Notices
- A lost and found box is maintained at the reception. Items left unclaimed for more than one month will be donated.
- Notices regarding holidays, makeup sessions, and upcoming events will be posted at reception and shared digitally.
8. Administrative Policies
8.1 Data Privacy & Protection
- All registration data is stored securely in swool.io.
- By registering, members agree to Gymac’s policies and swool.io terms.
- All personal information provided during registration is kept confidential and used only for Gymac operational purposes.
- Information will not be shared with third parties without explicit consent, except where required by law.
- Member records are stored securely, and access is restricted to authorised staff only.
8.2 Liability Waiver
- By registering, members acknowledge and accept the inherent risks of participating in physical activities.
- Parents/legal guardians accept responsibility for their child’s participation and agree not to hold Gymac, its staff, or its affiliates liable for any injury unless caused by proven negligence.
8.3 Medical & Emergency Consent
- In the event of an emergency, Gymac staff will take all reasonable steps to contact a parent or guardian.
- If contact cannot be established, the staff is authorised to seek appropriate medical attention for the child, including via public emergency services.
- Consent for emergency care is assumed upon registration unless stated otherwise in writing.
8.4 Illness, Medication & Injury Policy
- Students feeling unwell, showing signs of contagious illness, or on medication affecting physical performance should not attend class.
- All medication must be declared, and any necessary usage during class must be communicated to the coach in advance.
- In case of injury, a clearance note from a medical professional may be required before returning to physical activity.
8.5 Leave Requests & Documentation
- For extended absences (e.g. medical recovery), a formal leave request must be submitted in writing.
- Leave longer than four weeks requires valid documentation (e.g. doctor’s certificate).
- Missed sessions during approved leave are not automatically credited unless previously arranged with management.
8.6 Transportation Policy
- Gymac does not offer regular transportation. For special events or competitions, travel arrangements may be organised on a case-by-case basis.
- Written parental consent is required for any child to travel under Gymac’s supervision.
- Gymac will only collaborate with licensed and insured transport providers.
- Gymac assumes no responsibility for children once they are signed out to a parent or guardian at an off-site location.
8.7 Withdrawal & Termination Policy
- To withdraw from Gymac, parents must submit a written notice at least 4 weeks in advance.
- Unused sessions are non-refundable unless approved by management for medical or exceptional reasons.
- Gymac reserves the right to terminate a membership at its discretion in cases such as:
- Repeated unpaid fees
- Disruptive, disrespectful, or unsafe behaviour
- Breach of Gymac rules or policies
- No refunds will be issued in the event of a termination unless specifically agreed otherwise.
